  • Receptionist (Full-Time)

    About the role

    Our Receptionist is responsible for the screening of all incoming calls, acts as the first point of contact for all visitors, co-ordinates mail into and out of the office and to provides general administrative support to all sections of the Company.

    This role is located in Notting Hill, Victoria, and is for a 6 month Contract (Maternity Leave Replacement) from 3 July to 22 December 2017. Position is full time (5 days per week) from 9am to 5.30pm.

    Job tasks and responsibilities

    - Provide a high level of reception support, including answering all incoming calls, processing incoming mail and organising couriers as required.

    - Process outgoing mail and ensuring mail is posted each evening at local Post Office (Gilby Road, Mount Waverley).

    - Be the first point of contact for all visitors to the Melbourne office.

    - Filing, correspondence filing, binding, scanning and photocopying as required.

    - Maintain Registers of Incoming/Outgoing deliverables and correspondence registers.

    - Assist in ensuring adequate stocks of stationery, office supplies and postal supplies.

    - Assist in the management of staff diaries for meetings and staff location (in and out of office) – Electronic Calendar System.

    - Assist with overflow of admin duties from each group as required.

    - Maintain reception area in a professional, clean and tidy manner.

    - Assisting in maintaining kitchen areas in a clean and tidy manner.

    - Carry out other administration/secretarial duties as assigned by the General Manager, Managing Director, Executive Assistant or Quality Manager.

    Skills and experience

    - Demonstrated computer skills and capacity to use appropriate software, which includes word processing, spreadsheets and databases.

    - Excellent English communication skills.

    - Experience as a receptionist to a Company of 40+ staff.

    - Planning and Organising: demonstrated capacity in identifying and prioritising steps, which need to be undertaken for task completion and to set and implement schedules.

    - Time Management: demonstrated capacity to effectively prioritise tasks and monitor work flow to ensure deadlines and schedules are met.

    - Confidentiality: demonstrated ability to maintain strict confidentiality on sensitive issues handled within the company.
